The conference took place over the course of three days at the Lord Charles Hotel in Somerset West. They also had a Gala Dinner at the Lourensford Wine Estate.
The combined Somerset rooms were used for the plenary sessions and the rooms were divided into three for the breakaway sessions. We provided a screen, projector, sound system, a variety of microphones, a laptop and a clicker for each of the three rooms. The venues were set up in such a way that the sound and a/v systems could link together during the plenary sessions, when the rooms were combined into one big venue, and separated again when the rooms were split into breakaways. The whole process could be done in a matter of minutes during breaks to prevent any delays.
We supplied laptops and a multifunction printer for the speaker preparation room, where presenters could edit their presentation slides and print or scan documents.
We also provided a P.A for the exhibition area, which was in the Ballroom, for announcements and background music.
There was a comedian, a band with dancers and a DJ for the evening’s entertainment. We provided a six speaker P.A with sub woofers, microphones, five stage monitors, DJ cd players & mixer, a stage, a dance floor, smoke machine and lighting. The room was lit with LED par cans as up lighters, the stage was lit with profile spot lights and the stage and dance floor was lit with six Martin Mac 250 fixtures on truss totems.
