G4S International Conference

A three day international conference for G4S, the world's leading international security solutions group, held at The Table Bay Hotel in the V&A Waterfront.

The challenge:

Provide two front projection screens with side drapes, two projectors, confidence monitor, laptop, sound system and power plugs for 90 delegates. The first day of the conference will be in the Ballroom, the second day in the Pavilion and back in the Ballroom on the third day. There will also be a small meeting in the Pre-function Boardroom that requires a screen and projector and another small meeting in the Pavilion that requires a screen, projector and telephone conference unit on the last day of the event.

The response:

The Ballroom was setup the day before the conference started. We used two 10x7 projection screens with side drapes, two Sanyo projectors, a 19” confidence monitor, laptop, presentation remote, seamless switcher, a four speaker P.A and two lapel microphones. Power was distributed via extension leads and plug strips from a dedicated three phase outlet to ensure that delegates can charge their mobile devices without over loading the circuits. We also had international plug adapters on hand for those who needed it.

Presenters brought their presentations on flash drives and were loaded by the technician at the back of the room. The speakers controlled their slides with a presentation remote from the podium where they had a confidence monitor. Provision was made for presenters to connect their own laptops to the A/V system should the need arise.

While the conference was in full swing in the Ballroom on the first day, a duplicate setup was done in the Pavilion for the next day. The Pavilion is smaller than the Ballroom so we used 8x6 projection screens and put the projectors on high rise stands at the back with long throw lenses. This conserves floor space and allowed us to accommodate the delegates comfortably.

On the last day the conference moved back to the Ballroom where the equipment was still setup from the first day. After the main conference finished there were two smaller meetings that ran simultaneously. We provided a 6x6 screen and projector for the meeting in the Boardroom and a 8x6 screen, projector and telephone conference unit for the meeting in the Pavilion.

The event was a major success and ran without a hitch over the three days.
